The Australian Services Union (ASU) is one of the largest unions in Australia and represents workers in local government, energy, disability, community services, finance, call centres, airlines, legal and private sector administration.

An Executive Assistant position is available with the ASU SA + NT Branch. This is a pivotal role in the union, working very closely with the leadership team and the elected members of Branch Executive and Branch Council. This position requires a high level of personal and organisational administrative support to the Secretary and Assistant Secretary, and operational administration of the union.

We are looking for a highly organised, resilient, discrete professional who supports the goals of the trade labor movement.

This is a full time, permanent position. Some out of hours work is required, for which 12 RDOs per year are provided in compensation.

The successful applicant will be an experienced Executive Assistant who can confidently –

• Provide personal administrative support to the Secretary and Assistant Secretary
• Develop and maintain efficient and accurate administrative systems
• Draft written materials including correspondence, data reports, minutes, and presentations to a professional standard
• Maintain accurate and confidential records
• Prepare and distribute documents to ASU Executive, Branch Council and Branch Conference
• Liaise with key stakeholders including ASU national office, ASU interstate branches, other unions, peak bodies, Members of Parliament, Ministerial and Parliamentary staff, and media
• Monitor and facilitate maintenance of the union’s assets including building and fleet vehicles
• Manage office supplies and amenities
• Liaise with all external consultants and service providers
• Monitor the governance obligations / timelines for Registered Organisations under Fair Work legislation and assist with compliance and reporting
• Maintain credit card, travel, training, and gift registers
• Assist the Finance Officer with the annual audit, processing invoices, managing staff leave forms as needed
• Organise travel and accommodation for elected officials, staff and members
• Assist with the appointment and training of Workplace Representatives
• Assist with event management
• Provide the member engagement, industrial and organising teams with administrative support as required

Applicants will need to demonstrate –

• commitment to the Union movement / support of union’s values
• excellent communication and interpersonal skills
• experience in professional administration and record keeping
• ability to work to deadlines and manage competing demands
• ability to use initiative and complete work autonomously
• strong computer literacy, experience with database management
