Executive Assistant (full-time, Redfern)

The ASU is seeking to employ an Executive Assistant who will provide high level support to the Branch Secretary, Deputy Branch Secretary and Leadership Team.

Please note that this position is an in-office role based in our Redfern Head Office.

Responsibilities

Leadership Support:
• Provide high-level executive and administrative support to the Leadership Team.
• Manage the diaries and priorities of the Branch Secretary and Deputy Branch Secretary.
• Coordinate travel, logistics and briefing materials where required.
• Manage liaison with key internal/external stakeholders.
• Anticipate issues and keep the Leadership Office running smoothly.

Committee Coordination:
• Coordinate Industry Committee of Management meetings.
• Prepare agendas, papers, minutes, release requests and distribute materials.

Conferences and Events:
• Coordinate conferences, events, functions, staff training and official engagements.
• Arrange venues, catering, accommodation, travel and documentation.

General Support:
• Provide support to the Director, Business Operations.
• Other duties as directed.

Essential Skills and Experience
• Demonstrated experience providing high-level executive support to Senior Leadership.
• Exceptional organisational and time management skills with the ability to manage competing priorities and deadlines.
• Strong judgement, discretion and ability to manage confidential and sensitive information.
• Highly developed written communication skills, including preparation and formatting of correspondence, briefing papers and reports.
• Excellent interpersonal and stakeholder engagement skills, with the ability to work effectively with Senior Leadership, internal/external stakeholders, members.
• Proven ability to coordinate board, committee or council meetings including preparing agendas, papers, minute taking etc.
• Proven ability to coordinate conferences, events, functions, staff training and official engagements.
• Strong attention to detail and ability to maintain accurate records and documentation.
• Advanced proficiency in Microsoft Office and digital collaboration platforms (e.g. iMIS, SharePoint, Teams or similar).
• Ability to anticipate needs, problem solve and exercise initiative in a fast-paced environment.
• Experience working within a trade union, membership-based organisation, government or similar is desirable.
• Current NSW drivers licence or equivalent.

Conditions:
– Full time, 35 hours per week.
– $97,506 to $120,127 per annum dependent on skills and experience.
– Redfern based – close to public transport.
– 12.5% superannuation.
– 17.5% annual leave loading.
– 12 rostered days off (RDOs) per year.
– 5 weeks annual leave plus Christmas shutdown leave.
– 6 months paid parental leave.
